Employment Services International is looking for:

EXECUTIVE ASSISTANT

This is a fast-growing company with more than 6 years presence on the Macedonian market as a local employer, providing services to its international clients that are operating on the US market.

Key responsibilities include:

• Acting as a first point of contact for the Executive
• Working across the calendar of the executive, his availability and the availability with the people that the meeting should be held with.
• Good communication and representation of the Executive.
• Privacy discretion - this person will work closely with the Executive and will be present on most of the high level meetings
• Taking notes and making sure important things are noted. This should be afterwards followed up with the Executive.
• All the deadlines that the Executive is discussing about should be met and noted.
• Organizing events and conference calls.
• E mail management and organization – The Executive Assistant should be able to recognize the importance of the e mails and timely follow ups with the Executive.
• Being proactive and innovative.
• Planning travel, hotel, reservations.
• This person should know the needs and priorities of the Executive
• Research - making the Executive decision easier with doing a research on a given topic.
• Answering phone calls, talking with people that have related business with the Executive
• Preparing a daily agenda
• Exporting reports from several Management Information Systems
• Daily administrative duties
• Creating agendas for meetings.
• Gathering and providing documents needed before every meeting.
• Preparing meeting minutes.
• Filing and organizing documents.
• Performing minor accounting duties
• Prioritizing sensitive matters for discussion
• Managing the database the Executive Assistant is keeping for the Executive
• Miscellaneous tasks to support the Executive which will depend on day-to-day duties
