Assistant Portfolio Manager

We are looking for a detail-oriented and proactive HR Administrator to join our team. The ideal candidate will provide day-to-day administrative support to the HR department, ensuring that all HR operations run smoothly and efficiently. This role requires a person with strong organizational skills, attention to detail, and a good understanding of HR processes and employee relations. As indicated in the title, this is a maternity cover role offered on a 12-month contract.

Responsibilities:

  • Manage and update employee personal files and HR databases to ensure accuracy and confidentiality.
  • Prepare employment contracts, annexes, and other HR-related documentation in accordance with company policies and legal requirements
  • Coordinate the signing process of employment documents and ensure proper record-keeping and archiving.
  • Draft and issue HR administrative documents such as annual leave decisions, employment confirmations, and other official letters.
  • Submit and collect necessary documentation from external institutions (e.g., Health Insurance Fund, Employment Agency, Pension Fund, etc.).
  • Assist in the onboarding and offboarding process from an administrative perspective
  • Monitor employee attendance records and annual leave balances.
  • Provide general HR administrative support to the HR Department and respond to employee document-related requests

Requirements:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • At least 1 year of experience in HR administrative or HR support role.
  • Excellent communication and organizational skills.
  • Strong attention to detail and confidentiality.
  • Proficient in MS Office 365, experience with Bamboo HR or other HR software will be considered a plus.
  • Ability to work independently and as part of a team.
  • The working hours are from 13.00 to 21.00 CET.
