Job Title: Dispatcher
Location: Skopje, Macedonia (Office-based)
Working Hours: Afternoon Schedule
We’re looking for an ambitious Dispatcher to join our growing team in Skopje. You’ll be acting as a liaison between the client’s suppliers, customers, freight companies and the client’s internal departments. This role will be assigned to a Customer Service Team and will work with their team members to support the efficient operation of the company by managing a list of assigned accounts by ensuring timely scheduling of supplier loads, creating worksheets/billing sheets in cieTrade, securing freight options, scheduling loads, entering data and notes, attaching supporting documentation, contacting customer for shipment confirmations and RWN’s, handling customer service requests and initial escalation and communicating directly with the company’s partners.
Key Responsibilities:
- Work as a team with other CSR’s as assigned to provide a high level of customer service to clients.
- Answer all incoming calls with one of the client’s Customer Service Training
- greetings.
- Schedule and create worksheets in cieTrade for all incoming vendor pick-up requests and Link sales order/purchase order to the worksheet.
- Follow-up with vendors if they have not responded to service requests.
- Take ownership of each load being processed including any follow-up and resolution.
- Generate worksheets and maintain the prescheduling log for any vendors as assigned by the Service & Logistics Manager.
- Communicate to Account Rep when service issues arise. CC Account Rep on resolution of issue so there is visibility that it has been corrected. Escalate issues to Account Rep for resolution.
- Cancel worksheets in cieTrade upon notification of cancellation.
- Relay information of additional charges to the Account Rep and add notes in cieTrade and attach
- correspondences.
- Responsible for ensuring Supplier requests are responded to in a timely manner with the highest level of customer service.
- Resolving customer issues and escalating to the CSR Team leads and Director of Operations when necessary.
- Attaching documentation to corresponding worksheets in cieTrade within one hour of receipt. Enter weights and attach BOL’s to worksheets in cieTrade.
- Review open shipments and request information on established timetable from each customer and hauler to ensure account integrity.
- Understand the usage of Release Numbers, Mill Reference Numbers, Pick-up Numbers, Expense Lines and Manifest Bill of Lading Numbers. Create Service Record entries in cieTrade.
Qualifications:
- Excellent written and spoken English (C1 level or higher).
- Basic knowledge of service & logistics principals
- Proficiency in cieTrade
- Degree in accounting, business, finance, management or related field preferred
- Intermediate Excel skills with proficiency in other Microsoft Office suite of products
- Strong organizational and problem-solving skills and attention to detail
- Effective communication skills with an emphasis on service and the ability to collaborate with staff, vendors and leadership
