You'll collaborate closely with senior managers, advance in your position, and eventually supervise others.

We are looking for a responsible Administrative Financial Assistant to perform a variety of administrative, financial and clerical tasks. You will have front desk position and you will be responsible for the day-to-day management of our administrative procedures. We are looking for someone that is good with administration and getting stuff done. Someone who has a thirst for knowledge, and can responsibly get through tasks requiring attention to detail. You should have excellent organizational skills and you should be able to handle time- sensitive tasks.

Responsibilities:

  • Archiving and scanning internal documents and management of internal documentation (contracts, offers, invoices and company archive...)
  • Maintaining an organized and comfortable office environment, ordering office supplies, and updating inventory.
  • Contact with the accounting office and handling incoming and outgoing invoices.
  • Focal point of contact for visitors, suppliers, etc.
  • Answer and direct phone calls and e-mails.
  • Processing work orders, supplier invoices, purchase orders, expense claims, account payments, and payroll.
  • Sending documents to the post office.
  • Maintaining a digital record of all financial transactions, documents, and supplier information.
  • Update and maintain office policies and procedures.

Requirements:

  • At least a High school diploma.
  • Excellent organizational skills with the ability to multitask.
  • Excellent written and verbal communication skills.
  • Sharp time management skills.
  • MS Excel and MS Word skills.
  • Strong ethics, with an ability to manage confidential data.
  • Working knowledge of office equipment, like printers and scanners.
  • Advanced knowledge of written and spoken English.
  • Knowledge of Pantheon Enterprise software would be considered an advantage.
