We are looking for a Deal & Title Coordinator to join our Sales team and keep every deal moving smoothly from opportunity to closing. This role combines sales administration, deal-flow coordination, Salesforce management, and title documentation, ensuring that every transaction is accurate, complete, and ready for processing. You will work closely with Sales, Title, Finance, Accounting, Insurance, Service, and leadership, taking ownership of follow-ups and making sure no detail or opportunity falls through the cracks.

Responsibilities: 

• Prepare and review title, registration, sales, financing, and deal documentation.
• Verify VINs, customer and company information, lienholder details, signatures, assignments, pricing, and supporting documents.
• Ensure title packages are complete and accurate before submission to the Title Department.
• Prepare Bills of Sale, invoices, purchase documents, contracts, and other deal paperwork.
• Collect, scan, organize, upload, and maintain customer and deal documentation.
• Manage and update deal information, documents, activities, and statuses in Salesforce.
• Monitor the full sales pipeline and ensure opportunities are progressing through the correct stages.
• Identify stalled opportunities, overdue follow-ups, missing documentation, and transactions requiring attention.
• Proactively follow up with customers, Sales representatives, and internal teams to keep deals moving.
• Track deposits, financing, documentation, title processing, delivery, and post-sale requirements.
• Coordinate with Title, Accounting, Finance, Insurance, Service, Sales, and leadership to resolve issues and avoid delays.
• Escalate problems that may affect closing, funding, title processing, registration, or delivery.
• Maintain accurate and complete deal files and provide timely status updates.
• Assist the General Manager and GM Assistant with reports, projects, and other operational tasks as needed.

Requirements:
 

• Excellent organizational skills and strong attention to detail.
• Ability to manage multiple deals, priorities, and deadlines at the same time.
• Strong follow-up, problem-solving, and ownership mindset.
• Excellent written and verbal English communication skills.
• Comfortable working with CRM systems, electronic documentation, email, and Microsoft Office / Google Workspace.
• Previous experience in automotive, commercial truck, dealership, title, registration, financing, or sales administration
  is a plus. 
• Ability to handle confidential customer and company information with professionalism and discretion.
• Proactive, reliable, and confident when communicating with customers, colleagues, and business partners.
• Ability to work independently and follow tasks through to completion.
• Spanish language skills are a plus.
• Ability to work from 15:00 to 23:00.
